Working Conditions and Travel

Travel to student events and programs will be required. Travel to the Oakland, CA office for meetings, retreats, and/or training will be required. When you are not traveling for JSA, you will be working in your home office during normal business hours in your time zone. On occasion, you will be asked to report to a coworking space in your local area for special work assignments.

Work Location and Demands

This is a remote position that can be fulfilled from anywhere within the United States. This must be your only full-time job, and your focus during normal business days and hours must be on JSA work only.

Position Summary:

The Salesforce/IT Administrator at JSA will be responsible for maintaining all software, databases, and technology at JSA. They will ensure the functionality and effectiveness of all current systems and make recommendations for changes/enhancements that will allow the organization to run more efficiently and effectively.

Reporting to the COO, the primary goals of the Administrator are to ensure the Salesforce database is working properly and providing the functionality and data needed by the programs, accounting, and development teams. They will also ensure that all JSA staff are being supported by the Google suite of products available to them and will help troubleshoot issues when necessary. And they will provide external customer support for the JSAConnect community within Salesforce and internal customer support for all JSA systems.

Duties and Responsibilities

The key priorities for the Salesforce/IT Administrator will be:

Technology and Database Administration:

  • Set up, maintain, and troubleshoot equipment and computer issues

  • Set up and maintain computer and database security measures

  • Coordinate and schedule work with IT vendor service providers (Salesforce development, website designers, etc)

  • Monitor and maintain Salesforce database

  • Ensure the accuracy of data within Salesforce and develop processes and procedures to maintain the accuracy of such data

  • Develop flows and functionality within Salesforce that allow students to register for events, donations to process, receive invoices, make payments, etc. and ensure this information flows properly to the accounting department (Accounting Seed)

  • Maintain integrations with third-party Salesforce applications such as Pardot, Classy, RingDNA, and others.

  • Maintain JSA company emails and email groups through Google

  • Monitor Phone System (RingDNA) and setup phones (computer-based and/or cell phones)

  • Archival of web account information

  • Configuration of Salesforce reports, dashboards, opportunities, etc., that support the programs, accounting, and development teams

  • Maintain and manage all JSA virtual domains, website hosting, and email accounts

  • Maintain/manage all JSA software subscriptions and identify needs for additional software support for the organization

Customer Service

  • Assist external and internal customers to resolve problems with the database and IT infrastructure

  • Offer technical support online or via phone when necessary

  • Monitor & respond to tickets in the Salesforce Technology queue in a timely manner

  • Support Communications team to maintain and update JSA website and Salesforce community site

  • Responsible for training current and incoming staff on Salesforce and any other relevant technologies related to their positions.

Other

  • Develop systems and procedures to support the programs team with collecting scholarship applications, student documents, and other program-specific needs

  • Attend and support on-site programs throughout the year when needed

The Administrator role is ideal for an innovative, high-energy, and hands-on team member who is looking to take the next step in their IT career.

This candidate will be people-centric, with a positive and optimistic attitude. This candidate will be a certified Salesforce Administrator and be able to easily troubleshoot issues and train other staff members to use the platform effectively.

The ideal candidate will possess a demonstrated track record of working in Salesforce to support an organization’s success as well as supporting other IT infrastructure such as Google suite of applications, phone systems, website maintenance and other basic IT needs.

The commitment to working collaboratively within a non-partisan organization and the eagerness to work closely within a cross-functional team environment at every level of the organization is paramount to the success of the new Administrator, as well as the following experiences and attributes:

  • Certified Salesforce Administrator

  • Experience managing email systems/accounts

  • Experience in updating and maintaining websites

  • Ability to troubleshoot technical issues quickly and efficiently

  • Ability to translate technical information to those less comfortable or familiar with technology

  • Ability to attend to details, while keeping pace with opportunities and responding to urgent challenges

  • Ability to manage multiple priorities, projects, and deliver on stated deadlines

  • Proven problem-solving skills

  • Ability to work efficiently in a broad cultural spectrum

  • Excellent analytical skills

  • 2+ years Salesforce administration experience REQUIRED

  • 2-3 years of IT experience

  • Experience working in the student and educational services sector is a plus

Compensation and Benefits

The salary range for this position is $60,000-$65,000.
